Privacy Notice

This Privacy Notice describes how PracticePad, operated by Jed Michael Reaux, doing business as PracticePad LLC (in formation), based in Louisiana, USA ("PracticePad," "we," "us"), collects, uses, and shares personal data. We act as the data controller for the personal data we process about our account holders and website visitors.

1. Data we collect

  • Account data: name, email address, password (hashed), sign-in provider identifiers.
  • Profile data: role (coach), team affiliations, preferences.
  • Content data: practice plans, drills, rosters, attendance, messages, and other content you create.
  • Roster contacts: player and parent names, email addresses, and phone numbers that a coach enters.
  • Support data: messages you send us and their metadata.
  • Usage & device data: IP address, device identifiers, browser type, log timestamps, feature usage.
  • Notification tokens: web push subscriptions and notification preferences.

Payment details (card, billing address, tax data) are collected directly by Paddle and are not stored by us.

2. Why we use it (and legal basis)

  • Provide the Service — account creation, practice planning, timers, messaging (contract).
  • Send transactional notifications — practice reminders, account emails (contract / legitimate interests).
  • Security & fraud prevention — abuse detection, rate limiting (legitimate interests, legal obligation).
  • Support — responding to your questions (contract / legitimate interests).
  • Product improvement — usage analytics, error reports (legitimate interests).
  • Compliance — meeting tax, accounting, and legal obligations (legal obligation).

3. Who we share it with

  • Merchant of Record — Paddle: for sale of subscriptions, subscription management, payments, tax compliance, invoicing, and refund handling.
  • Hosting & infrastructure: cloud hosting and database providers that store and process the Service's data on our behalf.
  • Email & messaging providers: to deliver transactional emails and push notifications.
  • Analytics & error reporting: to understand usage and diagnose problems.
  • Professional advisers: legal, accounting, and tax advisers where necessary.
  • Authorities: where required by law, subpoena, or to protect rights and safety.

4. International transfers

We are based in the United States and our infrastructure providers may process data in the US and other countries. Where personal data is transferred out of the UK or EEA, we rely on appropriate safeguards such as the EU Standard Contractual Clauses or equivalent mechanisms.

5. Data retention

We keep personal data for as long as your account is active and for a reasonable period afterward to comply with legal, accounting, and security obligations. When data is no longer needed, we delete or anonymise it. You can request deletion of your account at any time by emailing us.

6. Your rights

Depending on where you live, you may have the right to:

  • access the personal data we hold about you,
  • correct inaccurate data,
  • request deletion or restriction of processing,
  • object to certain processing or withdraw consent,
  • request data portability, and
  • lodge a complaint with your local data protection authority.

7. Security

We use appropriate technical and organisational measures to protect personal data, including encryption in transit, access controls, and role-based permissions. No system is perfectly secure, so we can't guarantee absolute security.

8. Cookies

PracticePad uses only strictly necessary cookies and similar storage to keep you signed in and remember your preferences. If we add analytics or marketing cookies in the future, we will update this notice and, where required, ask for your consent.

9. Children

PracticePad is designed for coaches, not for direct use by children. Coaches may enter roster information about players and their parents; the coach or their organization is responsible for having a lawful basis to share that information with us.
